Competitive Innovations, LLC (CI) is seeking an Office Manager to support the U.S. Department of State, Office of the Special Envoy to Monitor and Combat Anti-Semitism (J/SEAS). The position supports J/SEAS in many areas, including by relaying information that has a broad impact on Bureau operations, and is responsible for maintaining appropriate and clear channels of guidance and communication throughout the Department of State, high caliber administrative support, and effective task management. This is a full-time position located in Washington, DC.
Responsibilities:
Assist J/SEAS by monitoring and reviewing all incoming and outgoing taskers and correspondence and determining the proper action to be taken
Apply editorial skills and knowledge in proofreading and editing completed work to ensure that assignments are properly cleared and formatted and meet objectives
Route material of special interest or sensitive nature directly to J/SEAS staff and/or the Special Envoy, when appropriate
Maintain J/SEAS calendars and schedule meetings, courtesy calls, events, and speaking engagements
Act as technical liaison and point of contact for virtual events
Ensure time and attendance is accurate for direct reports and other staff as needed
Serve as the Travel Arranger for J/SEAS individuals, including preparing travel authorizations, obtaining visas, country clearances and making reservations
Act as proxy for principal in ePerformance software system
Guide procurement of office supplies and track office expenses as needed
Provide courteous and responsive service to visitors and callers by answering phones and assisting and escorting visitors as appropriate within the building
Make repair, cleaning, and physical maintenance requests as necessary
Maintain business contact lists for the J/SEAS
Assist in developing and maintaining the Bureau SharePoint website
Create and maintain standard operating procedures for the J/SEAS office
Digitize documents and maintain electronic records with DoS standards.
Create and update J/SEAS weekly status reports
Schedule weekly team meetings and create and distribute meeting agendas
Develop and maintain JSEAS onboarding process

Domestic and/or international travel may be required
Minimum Qualifications:
Active Security Clearance: Secret
Bachelor’s degree plus three years of related work experience
Experience processing time and attendance via TATEL
Experience arranging travel through E2Solutions travel management software
Expert knowledge of virtual meeting platforms including, but not limited to, Zoom, WebEx, and Microsoft Teams for hosting virtual meetings and events and assisting with technical difficulties
Ability to work independently, perform tasks responsibly, and exercise independent judgment in performing and executing duties
Ability to make recommendations to promote efficiency and productivity and fulfill mission requirements
